Director, Operations
Mindshare and Wavemaker (Part of GroupM)
 
Overview:
This role will support the Client and Operations admin needs across the Content teams at Mindshare and Wavemaker media agencies. The ideal candidate has experience in a like-minded role, has a media agency background and an interest in the Content space and dynamic work environment.
 
Responsibilities include but are not limited to:
  • Facilitate and coordinate creation of scopes of work, in collaboration with Client leads
  • Create and roll out processes for operational workstreams including scoping, staffing, finance, time tracking, legal and inter-department ways of working
  • Manager quarterly revenue forecast updates and submission in partnership with commercial team and client leads
  • Maintain ongoing revenue tracker and pipeline financials
  • Meet regularly with commercial teams to track and optimize outstanding issues (vendor setups, POs, invoicing, billing, etc.) and to ensure timely payment to outside parties
  • Open jobs with finance (fee / time / third party costs)
  • Partner with investment teams for Prisma submissions (MAs, IOs, etc.)
  • Support on budgeting including project estimates, overages, T&E
  • Close and reconcile jobs; including working with project leads to make sure all relevant files have been saved
  • Request wires as needed from finance for timely payments, includes obtaining necessary wire paperwork from vendors
  • Keep vendor paperwork up to date (finance and legal)
  • Team time tracking (time codes master, keep staffing allocations up to date in Trinity, audit team/client profitability)
  • Human Resources support, as needed (reviews, learning and dev, training, etc. timelines management)
  • Legal support to ensure all client/project agreements (SOWs, CCAs, vendors, etc) are trafficked, completed and filed properly internally and externally
Qualifications
  • Minimum 8 years of relevant experience at marketing/advertising/media agency
  • Self-motivated, enthusiastic, resourceful, eager to learn, team player
  • Ability to be flexible and pivot between workstream requirements
  • Demonstrate a “client services philosophy”, to support the successful servicing of client relationships
  • Comprehension of the partnerships/media/communications channels landscape
  • Demonstrate strong communication skills and presence through multi-channel communications, interactions with team and clients, and a polished, professional demeanor
  • Demonstrate effective time management skills and understand the importance of prioritizing tasks to deliver on set objectives
  • Proven ability to plan and manage operational processes for maximum efficiency and productivity
  • Strong working knowledge of industry regulations and legal guidelines
  • Proficient in full MS Office Suite

The base salary for this position at the time of this posting may range from $100,000 to $230,000. Individual compensation varies based on job-related factors, including business needs, experience, level of responsibility and qualifications.
